Mamo TCV Advocates are currently looking for a motivated and talented person to join as an Shipping Administrator. The selected candidate will complement a team consisting of legal and non-legal professionals and work with a number of clients across a variety sectors.
Key Duties and Responsibilities:
- Assist the lawyers in handling client queries related to ship and yacht registration, as well as company incorporation (as the case may be), ensuring smooth follow-up and accurate documentation.
- Assist in the processing, registration and renewal of vessels, crew certifications and other related documentation.
- Manage administrative duties such as maintaining filing systems, archiving, billing and time recording.
- Prepare, issue and manage invoices as well as follow up on payments and handle debt collection processes.
- Liaise regularly with local and international maritime authorities, including Transport Malta.
- Collaborate with Accounts, Corporate and Compliance departments to ensure smooth billing and registration workflows.
- Maintain accurate records and ensure all procedures are followed meticulously and in a timely manner.
Job Requirements
- Minimum A-Level standard of education – a relevant administrative or maritime qualification is an asset.
- Strong command of English (spoken and written) – knowledge of Maltese is considered an advantage.
- Highly proficient in Microsoft Office applications with solid general computer literacy.
- Excellent organisational and analytical skills, with a strong eye for detail.
- Ability to manage time effectively, prioritise tasks and work well under pressure.
- Able to work independently with minimal supervision, as well as part of a collaborative team.
- Previous experience in the maritime industry or in a similar administrative role is considered an asset.
Whilst prior experience in a similar position is required, on the job training will be provided to persons with the right skills and aptitude. The salary offered will be commensurate with the level of experience and skills.
